3. Concrete mechanics observed in my samples: sentence length, contraction use, person, tense, how we handle humour, how we handle bad news, whether we use exclamation marks, how technical we get
4. A banned list: words, phrases, and constructions that are not us, drawn from the off-brand samples plus the usual AI tells
5. Ten before-and-after rewrites covering the situations we write in most
6. How the voice flexes by channel — what stays fixed and what changes between a support reply and a landing page
7. A short paste-in block I can put at the top of any AI prompt to get output in this voice
8. A three-question test a writer can run on their own draft before publishing

- Paste real published work, not aspirational writing — the guide should describe your voice, not invent one.
- The paste-in block from section 7 is the most reused output here; keep it somewhere you can grab it.
- Update the banned list whenever a phrase starts appearing in everything you publish.
Why this prompt works
Voice guides fail because "friendly and professional" is unfalsifiable. Traits stated as tensions, plus paired examples that violate them, give a writer something they can check a sentence against — and grounding everything in pasted samples stops the model describing a generic brand.
Variations to try
- Ask for a version aimed specifically at prompting AI tools, with explicit do and do-not instructions.
- Add samples from two different writers and ask where they diverge, as an onboarding aid.
- Paste a new draft and ask it to score against the guide with specific fixes.
Common mistakes to avoid
- Pasting only marketing copy, so the guide has nothing to say about support or bad-news writing.
- Building a guide from writing you wish you had done, which nobody can reproduce.
- Adjective lists with no examples, which every reader interprets differently.
